Photography and Video Guidelines


Purpose 

1. Wendover Cricket Club (“the Club”) is committed to promoting cricket in a positive, safe and inclusive environment. Photography, video recording and live streaming can enhance coaching, player development, promotion of cricket and engagement with members and supporters. The Club also recognises its responsibilities to safeguard children and vulnerable adults and to comply with UK data protection legislation. 

2. This policy applies to all photography, video recording and live streaming undertaken by, or on behalf of, the Club and is to be adhered to by all WCC members. 

Scope 

3. This policy applies to: 

a. Club matches (senior and junior). 
b. Training sessions. 
c. Coaching activities. 
d. Festivals and tournaments. 
e. Social events held under the Club’s authority. 
f. Club websites, Play-Cricket, social media and promotional materials. 

Principles 

4. The Club will: 

a. Promote positive images of cricket and its participants. 
b. Comply with ECB safeguarding guidance. 
c. Comply with the UK GDPR and Data Protection Act 2018. 
d. Respect the wishes of individuals who do not consent to photography, recording or live streaming. 
e. Ensure that photography and recording is carried out safely, responsibly and respectfully. 

Club Responsibilities 

5. The Club will nominate a responsible officer to oversee photography, video recording and live streaming. The responsible officer will ensure: 

a. This policy is followed. 
b. Appropriate permissions and consents are obtained. 
c. Safeguarding procedures are followed. 
d. Complaints are managed appropriately. 
e. Records of consent are retained securely. 

Photography and Video Recording 

6. Parents and carers are welcome to photograph or film their own children as part of normal family activities. However: 

a. Photography or filming organised by the Club must be authorised by a Club official. 
b. Photography must never take place in changing rooms, toilets or any area where privacy is expected. 
c. Photographers should identify themselves if requested by Club officials. 
d. Anyone refusing to comply with this policy may be asked to stop filming or leave the ground. 

7. Members are welcome to photograph or film their own activities but must adhere to para 6 a–d above and must gain consent of the subject(s) before posting on personal web or social media sites. 

Live Streaming 

8. Where matches are live streamed: 

a. The opposition club must be informed and agree at least 48 hours before the fixture. 
b. The relevant league requirements must be followed. 
c. Both captains, umpires and scorers must approve the live stream before play. 
d. Spectators must be informed through appropriate signage. 
e. The purpose of the stream must be clearly explained. 

Live streaming is intended to promote cricket and support coaching and player development. It must not be used primarily to challenge umpiring decisions or as a decision review system. 

Consent 

9. The Club will obtain appropriate consent before using identifiable images or recordings. 

a. Adults. Consent should be obtained before publication or live streaming wherever required. 

b. Players under 18. 

(1) Parental or carer consent must be obtained. 
(2) Children should also be informed and, where appropriate, their wishes respected. 

Where consent is withheld, the Club will take reasonable steps to avoid featuring that individual or will crop or obscure images where practical. 

Safeguarding 

10. Special care will always be taken when photographing or filming children. Parental permission must be obtained to use a child’s image and, wherever possible, the image will be shown to the parents and child in advance. This ensures that they are aware of the way the image will be used to represent cricket and the club. 

11. The Club will: 

a. Avoid identifying children by both name and image together. 
b. Use only appropriate sporting images. 
c. Avoid unnecessary images of spectators, particularly children. 
d. Remind parents not to upload images of other people’s children without permission. 
e. Discourage tagging children on social media without parental consent. 

Any safeguarding concerns relating to photography or filming must immediately be reported to the Club Safeguarding Officer. 

12. The Club may use external sites (e.g. YouTube) for the live streaming of matches where consent to do so has been given. The relevant privacy notices of the relevant external site used will come into effect on these occasions. 

Coaching 

13. Video recording may be used as a legitimate coaching aid. Players and parents will be informed when recording forms part of a coaching session. Coaching footage will: 

a. Be stored securely. 
b. Only be accessible to authorised coaches. 
c. Be deleted when no longer required or where appropriate following a request. 

Social Media 

14. Images and recordings published by the Club must: 

a. Present cricket positively. 
b. Avoid embarrassing or humiliating individuals. 
c. Not criticise or ridicule players, officials or umpires. 
d. Comply with league and ECB social media guidance. 

Members posting independently remain responsible for ensuring they have appropriate permission before sharing images of others. 

Data Protection 

15. Photographs, video recordings and live streams containing identifiable individuals are personal data. The Club will: 

a. Publish an appropriate Privacy Notice. 
b. Explain how images will be used. 
c. Store recordings securely. 
d. Retain recordings only for as long as necessary. 
e. Respect individuals’ rights under data protection legislation. 

Match Day Procedures 

16. Before any official photography, filming or live streaming: 

a. Approval will be obtained from the opposition where required. 
b. Captains, umpires and scorers will be notified. 
c. Consent records will be checked. 
d. Appropriate venue signage will be displayed. 

Concerns and Complaints 

17. Anyone concerned about inappropriate photography, recording or live streaming should immediately contact: 

a. The Club Safeguarding Officer. 
b. A Club Committee member; or 
c. The Match Manager or Team Manager. 

The Club may ask any person undertaking inappropriate photography or filming to stop immediately. Safeguarding concerns will be managed in accordance with ECB safeguarding procedures. 

Breaches of this Policy 

18. Failure to comply with this policy may result in: 

a. Removal of permission to photograph or film. 
b. Removal from Club premises. 
c. Disciplinary action under Club rules. 
d. Referral to the ECB or statutory authorities where appropriate.
